A booking is only confirmed when MWT issues a written confirmation and the deposit is received. Submitting an enquiry does not create a binding booking or financial obligation.
If no deposit has been paid, there is no cancellation fee. You can withdraw from an enquiry at any point before receiving and accepting a quotation, and you will owe nothing. Simply let us know by email and we will close the enquiry.
Once a deposit is paid and a booking is confirmed, the following cancellation terms apply. The timeline is measured in days before the event date:

| 7–13 days before event | 75% of total booking fee charged |
| Less than 7 days before event | 100% of total booking fee charged |
These charges reflect the fact that cancelling close to the event date makes it difficult or impossible for MWT to reallocate the supplier’s time. The supplier may have turned down other work to hold your date.
Where a balance payment is due and a client cancels, MWT will invoice for the applicable cancellation charge.
If you are a consumer (booking for personal, non-business purposes), the Consumer Contracts Regulations 2013 give you the right to cancel a contract entered online within 14 calendar days of confirmation, without penalty.
However, where you have requested that MWT commence work immediately (e.g. contacting suppliers, holding a date), and have consented in writing to waiving your cooling-off right, you may not be entitled to a full refund even within the 14-day window.
If your event falls within the 14-day cooling-off period, MWT will explain this at the time of quotation and obtain your express consent before proceeding.
If a supplier cancels your confirmed booking, you are entitled to a full refund of all amounts paid.
MWT will also make every effort to find a suitable replacement supplier at no additional cost to you. If we are unable to source a replacement and you wish to proceed with an alternative event date, we will offer options at no penalty.
MWT may exercise discretion in exceptional circumstances — such as bereavement, serious illness, or events outside your control (force majeure events). In such cases, please contact us as soon as possible and we will consider each situation on its merits.
We cannot guarantee that cancellation fees will be waived in exceptional circumstances, but we will always try to act reasonably and fairly.
To cancel a booking, contact us in writing as soon as possible:
MWT will confirm receipt of your cancellation request within 1 business day and confirm any charges that apply based on the timeline above.
Lesson bookings (music teachers) and room hire bookings may have different specific terms that will be stated in your individual quotation. The general principles above apply unless your quotation specifies otherwise.
